Standard Operating Procedure (SOP)

Introduction

Evaluation is a vital component of the academic process that ensures the achievement of learning objectives and academic standards. The college follows a dual system of evaluation comprising Internal Assessment (Continuous Assessment) and External (Summative Assessment) Examination, as prescribed by Kuvempu University. The Internal Assessment aims to measure students’ continuous academic progress through tests, assignments, presentations, and class participation. It encourages consistent learning and provides timely feedback to enhance academic performance. The External Examination, conducted at the end of each semester, evaluates the comprehensive understanding of the subject matter as per the university norms. The Examination Committee is responsible for ensuring the smooth and transparent conduct of both internal and external assessments, maintaining fairness, confidentiality, and adherence to university regulations. Through this systematic approach, the institution upholds the principles of academic integrity, transparency, and excellence in the teaching-learning and evaluation process.

Objectives

  • To conduct internal and external examinations in accordance with Kuvempu University guidelines.
  • To ensure transparency, fairness, and academic integrity in all evaluation processes.
  • To maintain confidentiality in question paper setting, valuation, and result processing.
  • To provide timely and accurate results to students.
  • To continuously improve the examination process through systematic review and feedback.

Scope

This SOP applies to all undergraduate and postgraduate programmes, faculty members, examination committee members, and administrative staff involved in the conduct of internal and external examinations.

Responsibilities

  • Principal : Overall supervision, approval of schedules, and coordination with university authorities.
  • Examination Committee : Preparation of timetable, invigilation plan, question paper collection, and result publication.
  • Heads of Departments : Coordination with faculty for internal tests, record maintenance, and mark submission.
  • Faculty Members: Conducting internal assessments, evaluating answer scripts, entry of marks, and maintaining records.
  • Students : Adherence to examination rules, discipline, and timely participation in assessments.

Procedure

Internal Assessment: Conducted twice in each semester as per University regulations. Attendance for both IA tests is compulsory.

External Examination: The student must pay the examination fee to the University as notified.

  • Conducted as per Kuvempu University schedule and guidelines.
  • Examinations are held under the supervision of the Chief Superintendent and appointed invigilators.
  • Answer scripts are packed, sealed, and sent to the University for valuation as per protocol.
  • Students will receive results published by the University.
  • The college has no control over the schedule of examinations or the release of University results.

Confidentiality and Ethics

All personnel must maintain strict confidentiality regarding question papers, marks, and records. Any malpractice or deviation from procedures will be reported to the Principal for appropriate disciplinary action

Review and Improvement

The Examination Committee shall review the conduct of internal and external examinations every semester to identify gaps, and implement necessary improvements, as per collected feedback for maintaining academic quality and fairness.

Internal Assessment – Detailed Procedure

  • Internal Assessment test dates are communicated to students through official circulars.
  • Any changes in the schedule are immediately updated and informed to students.
  • Subject teachers provide the syllabus for each IA test and obtain student acknowledgment.
  • Faculty members submit question papers and schemes within the stipulated timeline.
  • The Scrutiny Committee reviews question papers for relevance, clarity, and alignment with Bloom's Taxonomy.
  • Corrections suggested by the committee are made by the respective teachers and re-submitted for approval.
  • Class teachers verify and finalize the list of eligible students for the IA tests.
  • Examination timetables and invigilation duty lists are prepared and circulated.
  • The Internal Squad monitors the conduct of examinations to ensure transparency and discipline.
  • Teachers evaluate IA answer scripts and display the evaluated scripts to students for verification.
  • Any discrepancies or grievances raised by students are documented and submitted to the HOD and Principal.
  • IA marks are uploaded to the University portal with the Principal’s approval within the prescribed timeline.

Procedure for Resolving Internal Assessment Grievances

  • At the beginning of each semester, both students and faculty receive the Course Outline and Examination (COE) document.
  • The faculty copy of the COE includes key academic dates such as Internal Assessment (IA) schedules, deadlines for submission of question papers, and IA marks submission timelines.
  • The Examination Committee issues a Code of Conduct for both students and faculty, outlining expectations and responsibilities during the assessment process.
  • As per Kuvempu University regulations, students must maintain a minimum of 75% attendance in each subject to be eligible for the end-of-semester examinations.
  • The institution also mandates a minimum of 75% attendance in all subjects to qualify for appearing in the Internal Assessment tests.
  • Students who fall short of attendance due to valid reasons such as personal illness, illness of a family member, marriage, or other significant personal events may be permitted to write the missed IA with the approval of the Principal.
  • Internal Assessment evaluation considers not only academic performance but also regularity, participation, and punctuality.
  • Students receive instructions from their class teacher regarding the submission of supporting documents for any valid reasons affecting attendance or IA participation.
  • The class teacher collects all supporting documents and arranges a meeting with the Principal, Heads of Departments (HODs), and IA Coordinators to verify the authenticity of the submissions.
  • During this meeting, a decision is taken regarding the eligibility of students to appear for the IA, and the outcome is communicated to students through the class teacher.
  • Students not permitted to write the IA based on the committee’s decision will be given an opportunity to reappear for the IA after attending the prescribed remedial classes.
  • After completing all procedures, evaluated IA answer scripts are distributed to the students.
  • Any discrepancies in marks identified by students are reviewed by the respective subject teachers, who provide necessary clarifications.
  • The resolution of such issues is formally communicated to the concerned Head of the Department (HOD) and the Principal for documentation and transparency.

Introduction

Practical examinations are an essential component of academic evaluation that assess students’ application of theoretical knowledge through hands-on experience and skill demonstration. In accordance with Kuvempu University guidelines, all practical examinations conducted by the institution are overseen by a Practical Examination Committee to ensure smooth, transparent, and standardized execution.

Procedure

Coordination and Notification
  • All practical examinations in the institution are coordinated by a separate Practical Examination Committee.
  • Notifications regarding the conduct of practical examinations are issued by Kuvempu University to affiliated colleges.
  • Upon receipt, the office staff shall present the university notification to the Principal and subsequently hand it over to the Practical Examination Coordinator/HOD after obtaining the Principal’s signature.
Scheduling and Planning
  • The dates for practical examinations will be finalized during a departmental meeting involving all concerned faculty members.
  • The Coordinator/HOD in consultation with the Principal, will finalize the timetable, batch details, and faculty duty assignments.
  • This information will be submitted to the Kuvempu University Practical Examination Coordinator for approval.
  • Once approved, the timetable will be displayed on the department notice board for student reference.
Faculty Allotment and Duties
  • Faculty members are required to perform examination duties as per the duty allotment letter issued by the Practical Examination Coordinator of Kuvempu University.
  • The institution’s Practical Examination Coordinator/HOD will upload all batch details and the timetable onto the Kuvempu University Examination Portal.
Laboratory Preparation
  • The lab instructor will ensure all systems are formatted, equipment is checked, and laboratories are properly arranged before the commencement of the practical examinations to ensure smooth conduct.
Distribution of Answer Booklets
  • A formal request shall be made to the Principal to release the answer booklet bundles received from the University for use during the practical examinations.
Conduct and Documentation
  • The internal examiner will prepare and maintain the invigilator’s diary for each session.
  • Batch-wise examination details will be recorded in the practical examination ledger, which must be duly signed by both the internal and external examiners.
  • After each batch is completed, marks will be uploaded onto the Kuvempu University Examination Portal by the respective examiners after due verification.
Post-Examination Work
  • The Coordinator will prepare attendance certificates and work done statements for both internal and external examiners and obtain the Principal’s signature for approval.
  • Approved copies will be handed over to the respective examiners.
  • At the end of each examination day, the answer scripts shall be bundled and securely stored in the Examination Strong Room.
Consolidation and Submission
  • Upon completion of all practical examinations, a consolidated statement will be prepared by the Coordinator/HODs and submitted to the Principal for final approval and dispatch to the University along with all practical answer booklets.
  • All relevant documents, records, and reports will be systematically filed for institutional and audit purposes.

Introduction

The End-Semester Examination is a crucial component of the academic evaluation process and is conducted strictly in accordance with the rules and regulations prescribed by Kuvempu University. The purpose of this SOP is to ensure a fair, transparent, and systematic conduct of the examinations, with clearly defined roles and responsibilities for all stakeholders involved.

Procedure

    Examination Timetable and Eligibility
    • Kuvempu University uploads the examination timetable to the University Examination Portal, and the same will be displayed on the college notice board for student reference.
    • The Heads of Departments (HODs) shall prepare lists of eligible and non-eligible students for the semester-end examination.
    • The list of non-eligible students will be forwarded to the Registrar (Evaluation) of Kuvempu University for record.
    Hall Tickets
    • Students may download their hall tickets from the Kuvempu University Examination Portal before the commencement of the examination.
    • Downloaded hall tickets will be verified against the list of eligible students by the Examination Committee.
    • In case a hall ticket is not generated for an eligible student, the issue will be immediately reported to the Examination Section of Kuvempu University for necessary action.
    • Verified hall tickets will be handed over to class teachers for distribution to students, who must acknowledge receipt.
    Examination Duty and Briefing
    • The Examination Committee will prepare the faculty duty roster based on the examination schedule and communicate the assignments to staff through an official order.
    • A pre-examination meeting will be conducted to inform all concerned personnel—including the Office Superintendent, Relieving Superintendent, Room Invigilators, and office staff—about the rules, procedures, and responsibilities for smooth examination conduct.
    Receipt and Handling of Question Papers
    • Kuvempu University dispatches sealed question paper packets to the Principal.
    • The received question papers shall be organized by date and session according to the approved timetable.
    • If any question paper packet for a scheduled session is not received, the Chief Superintendent must immediately inform the University’s Examination Section to obtain the missing paper before the session begins.
    Seating and Logistical Arrangements
    • The Examination Committee will prepare the seating plan for all programs and upload it to the Kuvempu University Examination Portal.
    • The Sitting Squad/Observers, appointed by the University, shall report to the Chief Superintendent to monitor examination activities and ensure fairness and transparency.
    • The Office Superintendent will ensure proper allocation of answer booklets, question papers, and related materials according to session requirements, maintaining accurate records in accordance with University norms.
    • All examination personnel, including Observers, Office Superintendent, Relieving Superintendent, Room Invigilators, and office staff, must report to the Chief Superintendent at least 30 minutes before the start of the examination.
    • Room Invigilators shall report to their respective examination halls 15 minutes before the examination begins.
    • The Chief Superintendent will open the sealed question paper packets in the presence of the Observer and Office Superintendent, following proper verification and procedures.
    • The Office Superintendent and Relieving Superintendent will distribute the question papers to invigilators according to the approved seating plan.
    • After the short bell rings (five minutes before the exam), invigilators will receive the question papers and distribute them to students at the scheduled start time.
    Attendance and Absentee Reporting
    • After 30 minutes from the start of the examination, an absentee register will be circulated in each hall to record absentees.
    • The absentee details will be uploaded to the Kuvempu University Examination Portal, and an absentee statement along with answer script bundle details will be prepared accordingly.
    Collection and Storage of Answer Scripts
    • After each examination session, the Office Superintendent and Relieving Superintendent will collect and verify all answer booklets submitted by Room Invigilators.
    • Verified scripts will be organized program-wise, bundled securely, and stored in the Examination Strong Room for safekeeping.
    • Over time, Kuvempu University will collect the answer booklet bundles from the institution following due procedures.
    Post-Examination Documentation
    • The Examination Committee shall ensure that all examination-related documents, reports, and bundles are properly labeled, recorded, and filed for institutional and audit purposes.
    Grievance Redressal
    • A Grievance Redressal Mechanism for the End-Semester Examination will be implemented in strict accordance with Kuvempu University norms to ensure fairness and transparency in addressing examination-related issues.
